Map the handoff before changing the campaign

Draw the actual route: service page, contact action, form provider, receiving system, assigned owner and next response. Include an external booking tool or phone service if it is part of the journey. Ask each owner what evidence their system provides, rather than assuming every handoff is visible in website analytics.

For a new clinic website, begin with one primary route per service or location. A clear route with a named owner is easier to validate than several overlapping forms that send different information to different inboxes.

Run a controlled test with synthetic details

Agree a test label, a recipient and a cleanup plan. Submit one valid synthetic request, then check the receiving record and ownership. Test an invalid request and a rapid double-click without using real patient information. Confirm that errors are understandable and that retry behavior does not create unintended duplicates.

Record the test time and the evidence at each stage. If a provider handles delivery asynchronously, allow its documented processing interval before diagnosing a failure. Do not promise a response time on the page unless operations can support it.

Protect the information at every step

Our recommended design is to collect only what the immediate task requires, restrict staff access and keep clinical details in the organization’s approved patient workflow. Do not put free-text messages into analytics events, page URLs or routine marketing notifications. A general website form and a patient portal have different data requirements.

Measure the bottleneck you can actually fix

If requests are accepted but not assigned, more advertising does not repair the handoff. If visitors never reach the form, inspect the page and CTA first. Review aggregate counts and time-to-assignment against agreed definitions, and note any missing data. Avoid using a small or incomplete dataset to make claims about treatment demand or clinical performance.
