Choose one workflow with a clear owner

Start with a process the team can describe end to end: a business inquiry, a website support request or an approved administrative handoff. Write the trigger, allowed inputs, receiving queue and completion condition before selecting automation features.

Define contact identity separately from request history

A repeat request from the same email may belong to an existing contact while still requiring a new activity record. Decide what the CRM should update, what it should preserve and how a staff member can distinguish separate requests. Do not overwrite useful information with blank optional fields.

  • Choose one authorized submission path.
  • Define duplicate-contact and duplicate-event behavior explicitly.
  • Use a request identifier or supported idempotency control when the integration provides one.
  • Retain a timestamp and source for each request where the system supports it.
  • Verify the actual field mapping instead of relying on a connector’s marketing description.

In practice

Keep service follow-up and marketing consent distinct

Responding to a request and enrolling someone in promotional email or SMS are different actions. Document the permitted purpose and consent requirements for each channel. Do not use a business-inquiry checkbox as a substitute for every kind of messaging permission.

Review the workflow’s branches, connected campaigns and default tags before activation. A harmless-looking tag can trigger an unrelated sequence elsewhere in an account. Treat the receiving system as part of the review, not just the visible form.

Make maintenance small and observable

Assign an owner to review exceptions, failed runs and stale mappings. Re-test when the form, catalog, provider, routing rules or data policy changes. Keep a short change record with the affected routes, test evidence and rollback plan.

The privacy and security reviewer should assess data categories, access, vendor terms, retention and deletion.
