The practical answer

Audit the profile against an approved record for the real clinic location. Check eligibility and ownership first, then verify public facts, destinations and feedback handling. Save the evidence and assign any discrepancy to the team that can resolve it.

In practice

1. Verify ownership and listing eligibility

  • Identify the authorized profile owner and a backup administrator.
  • Confirm the listing represents an eligible real-world business or practitioner.
  • Review existing profiles before creating another listing.
  • Use the real business name; do not add promotional keywords to it.
  • Check the applicable practitioner and department rules for the clinic’s actual setup.

Google’s representation guidelines are the primary reference for eligibility, names and profile structure. Do not assume a virtual address, shared office or individual clinician should always receive a separate listing. Google: Business Profile representation guidelines.

2. Compare the public record with operations

DetailEvidence to check
Name, address and phoneApproved location record and current public website.
Hours and special hoursStaffed availability and confirmed holiday schedule.
Categories and servicesWhat this location actually provides.
Website and appointment destinationThe correct office, service information and next step.
Accessibility and arrival detailsInformation confirmed by the location team.

Record the date and source of every correction. Consistency should reflect true business facts, not simply repeat an old directory entry everywhere. A moved clinic needs a coordinated update, not a new layer of conflicting records.

In practice

3. Open every important destination on a phone

Follow the website and appointment links as a visitor would. Check that the page identifies the location clearly, offers a working contact route and explains what the action does. Confirm phone links dial the intended number and do not lead to an unrelated office.

If a URL contains campaign parameters, keep them free of patient identifiers and sensitive information. Treat a transition into a booking system as part of the journey to verify, including the return or recovery route if the user cannot complete it.

In practice

4. Review media and feedback handling

  • Use current, authorized photos of the location and team; check image rights.
  • Avoid identifiable patient information in backgrounds, screens or captions.
  • Make review invitations consistent and voluntary, without incentives or positive-only selection.
  • Assign public-response ownership and a private escalation route.

Google Maps prohibits fake engagement and certain review-solicitation practices. Use the responsible review process for the detailed invitation and reply policy. Google Maps: prohibited and restricted content.

In practice

5. Keep a small maintenance record

For each issue, save the profile URL, observed value, approved correction, owner and verification date. Recheck after a move, staffing change, new phone route or updated hours. Review unexpected profile edits and unresolved duplicates with the authorized administrator.

This checklist checks operational accuracy. It does not certify a ranking position or guarantee map visibility. Pair it with the local-search workflow article to interpret how profile activity, location pages and inquiry quality fit together.
